Executive Administrative Assistant to C-Level StaffCONFIDENTIAL SEARCH Location: Burlington, NJ (In-Person)Reports to: CEO, President, and other C-Level ExecutivesIndustry: Trailer Dealership, Industrial/Commercial Real Estate, Property Management Position Overview We are seeking a highly organized and proactive Executive Administrative Assistant to provide high-level administrative support to C-level executives. This role requires strong organizational skills, discretion, and the ability to manage multiple priorities while supporting leadership across several business divisions. Experience with legal documentation and basic accounting processes is a plus. Key Responsibilities Executive Support Manage executive calendars, meetings, and appointments Prepare and edit reports, presentations, and correspondence Coordinate executive travel and itineraries Handle confidential communications and sensitive information Legal & Administrative Support Assist with legal research, contract organization, and document preparation Maintain legal files including leases, agreements, and compliance records Accounting Support Assist with invoice tracking, expense reporting, and basic bookkeeping Support account reconciliation and financial reporting tasks Office & Project Coordination Serve as a point of contact for internal and external communications Maintain office supplies and coordinate vendors and service providers Organize meetings, company events, and special projects Track project timelines and provide follow-up with internal teams Qualifications Education & Experience Bachelor’s degree preferred or equivalent experience 3–5 years supporting senior executives in a fast-paced environment Experience with contract management or paralegal work preferred Familiarity with bookkeeping or accounting processes is a plus Skills Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) Strong written and verbal communication skills Excellent organizational and multitasking abilities High attention to detail and professional discretion Additional Ability to maintain strict confidentiality Experience with QuickBooks or similar accounting software preferred Knowledge of commercial real estate or dealership operations is a plus Benefits Competitive salary based on experience Health, dental, and vision insurance 401(k) with company match Paid time off and holidays Professional development opportunities
